QuickBooks overdue invoice calls, automated

Connect QuickBooks Online in under a minute. Three days after an invoice goes past due, our voice agent calls the customer inside the legal call window. You pay ten percent of what gets recovered. Nothing recovered, nothing charged.

Quick answer

How does Syntharra make overdue invoice calls for QuickBooks Online users?

Syntharra connects to QuickBooks Online through Intuit's standard OAuth handshake with read-only access to your invoice ledger. The aging report syncs every few hours. When an invoice crosses three days past due and the customer has a phone number on file, the voice agent dials inside the TCPA call window, opens with an AI-and-recording disclosure, and either takes payment through Stripe Connect, schedules a callback, or hands a dispute back to your office. The fee is ten percent of what gets recovered.

How Syntharra works with QuickBooks Online, step by step

  1. 01

Connect QuickBooks Online in under a minute

Standard Intuit OAuth handshake. Read-only access on invoice status, due dates, customer name, customer phone, and customer email. No write access, no chart-of-accounts edits, no surprises in your audit trail. The Syntharra app sits inside the Intuit App Store and uses the same OAuth flow as every approved Intuit integration.

  2. 02

    Connect Stripe Connect for payouts

Recovered funds route through your own Stripe account, not through Syntharra. The ten percent success fee is taken automatically at the point of recovery via Stripe's application fee mechanism. There is no separate invoice for the fee, no end-of-month reconciliation, and no middleman account holding your money.

  3. 03

We watch your aging report silently

Every few hours the latest QuickBooks sync runs. Paid, voided, and credited invoices are filtered out before the dialer fires. Anything three or more days past due with a valid phone number on file enters the call queue, respecting the customer's local timezone and the weekend exclusion.

  4. 04

The voice agent calls inside legal hours

Hardcoded AI disclosure on the opening line. Hardcoded recording notice in the same opener. The agent can take payment by card, send a pay-link by SMS, or schedule a callback inside the three-attempt cap. Disputed balances end the call immediately and route the file back to your office for a human to handle.

What you actually get

First call on day three, every time

The agent dials the day your QuickBooks aging report shows the invoice three days past due — not on day forty-seven when most owners finally work up the nerve to do it themselves.

Money lands in your own Stripe account

Recovered payments route through Stripe Connect into the Stripe account you already own. Stripe routes the ten percent success fee to Syntharra automatically; the rest is yours.

Every call recorded and transcribed

Listen to any call from your dashboard. Read the transcript. See how it resolved (paid, promised, disputed, or escalated). Two-party-consent states are satisfied by the recording notice in the opener.

Disputes route to a human, never argued

When a customer pushes back on a balance, the agent ends the call. No re-selling, no acknowledgment of the disputed claim. The invoice gets flagged in your dashboard and the file routes to your office.

QuickBooks records stay untouched

Read-only access throughout. We never modify your books, never edit your chart of accounts, never create or void invoices on your behalf. The audit trail in QuickBooks looks the same as it did before you connected us.

QuickBooks Online questions, answered

For broader product questions covering security and the dashboard, see the full FAQ.

Do I need a paid QuickBooks Online subscription?

Any QuickBooks Online tier works — Simple Start, Essentials, Plus, or Advanced. The integration uses Intuit's standard OAuth handshake. QuickBooks Self-Employed and QuickBooks Desktop are not currently supported because they expose a different (or no) public API for invoice status.

How does Syntharra know when an invoice has been paid?

A recurring sync reads your QuickBooks aging report every few hours. Paid, voided, or credited invoices are filtered out of the call queue before the dialer ever fires. If a payment lands during a call, the next scheduler check sees the new status and the invoice never dials again. The system of record is your QuickBooks ledger; we read from it, we never write to it.

What information does Syntharra read from my QuickBooks account?

Invoice status, due date, balance, customer name, customer phone, customer email. That is the full read scope. We do not pull tax data, payroll, employee records, banking information, or anything outside the accounts-receivable module. The OAuth scope is restricted to exactly what the dialer needs.

Can I exclude specific customers or invoices from being called?

Yes. Every invoice has a one-click pause toggle. Every customer has a one-click exclude. You can set a minimum-balance floor below which nothing gets called. Manual overrides happen in your dashboard and take effect on the next sync, which usually runs within a few minutes.

Do you charge a monthly fee for the QuickBooks integration?

No. The pricing is success-fee only: ten percent of what gets recovered. There is no setup fee, no per-call fee, no minimum commitment, and no monthly subscription. If nothing is recovered, you pay nothing.

What happens if I disconnect QuickBooks?

The OAuth handshake breaks the moment you disconnect from the integrations panel. The next scheduler tick sees no valid auth and exits cleanly. Calls scheduled but not yet placed cancel automatically. You keep every recovered payment that has already landed in your Stripe account.
