Payment Recovery for Small Business
Connect your accounting software once. Syntharra monitors your invoices, calls overdue customers by phone, takes card payment on the call, and settles funds directly to your bank via Stripe. You pay 10% of what gets recovered. On invoices that don’t pay, you pay nothing.
The recovery loop, end to end
Every step below is automated after you connect your accounting system. Nothing requires manual intervention unless a call flags a dispute or completes three failed attempts.
1 — Detect
Syntharra reads your QuickBooks, Xero, FreshBooks, or Sage account every few hours. When an invoice crosses 3 days past its due date, it enters the recovery queue. Invoices already disputed or marked as payment arrangements are skipped.
2 — Schedule
The smart dialer checks the customer’s local timezone from their billing address and schedules the first call during the legal window: 9 am to 8 pm on a weekday. If the earliest available slot is more than 24 hours away, the invoice stays in queue rather than calling outside permitted hours.
3 — Call
The AI voice agent opens with the required TCPA disclosures, states the invoice number and amount, and asks how the customer would like to resolve it. Invoice amounts and due dates come from your accounting system; the AI model never generates these values.
4 — Collect
Customer gives card details on the call. The agent reads the amount back and takes verbal authorisation before processing. The card is charged via Stripe Connect to your account. Customer receives an email receipt. Call recording and transcript are saved to your dashboard.
5 — Settle
Stripe settles the payment to your bank account within 2 to 5 business days. The 10% Syntharra fee is deducted at settlement. You receive the net amount with no further action required.
The fee model in plain numbers
Syntharra earns only when you do. No recovered payment means no fee. There is no monthly retainer and no per-call charge.
| Invoice amount | Syntharra fee (10%) | You receive (90%) |
|---|---|---|
| $250 | $25 | $225 |
| $500 | $50 | $450 |
| $1,000 | $100 | $900 |
| $2,500 | $250 | $2,250 |
| $5,000 | $500 | $4,500 |
Fees are deducted at Stripe settlement. You never receive a separate invoice from Syntharra.
What counts as recovered
A fee is earned in two scenarios. First: the invoice is paid in full by card during a call. Second: the customer enters a payment arrangement during a call and completes the agreed payments within 30 days.
Partial payments count proportionally. If a customer pays $600 of a $1,000 invoice on the call and agrees to pay the remaining $400 within 14 days, the Syntharra fee is earned on the $600 collected immediately and on the remaining $400 when it clears.
If the customer does not pay during the call and does not enter a payment arrangement, no fee is charged regardless of how many calls were made.
Works with your accounting software
Syntharra connects read-only to the most common small business accounting platforms. It reads invoice amounts, due dates, and customer contact details. It does not write to your accounting system without a confirmation step from you.

Invoice age and recovery rates
Syntharra works on service invoices that are at least 3 days past due. The table below shows typical recovery rates by invoice age, based on industry data for B2B service invoices.
| Days past due | Typical recovery rate | Syntharra handling |
|---|---|---|
| 3 to 30 days | 85–95% | Fully automated |
| 31 to 90 days | 70–85% | Fully automated |
| 91 to 180 days | 55–70% | Fully automated |
| 181 to 365 days | 35–55% | Fully automated |
| 12 to 24 months | 20–35% | Automated with lower priority |
| Over 24 months | Below 20% | Human review recommended first |
Recovery rates vary by industry, invoice size, and customer relationship. These are indicative figures only.
Why the rates are higher
Trained on the calls that actually recover money
The recovery rates in the table above are not projections — they reflect what an agent trained on hundreds of thousands of hours of real invoice collection calls achieves in practice. The agent knows the responses that move customers toward payment, the language that de-escalates disputes, and the timing patterns that get callbacks returned. No other tool gives you this out of the box. No setup. No training from your side.

Common questions
How does the 10% fee work?
Syntharra only charges on recovered amounts. If we collect a $1,000 invoice, $100 goes to Syntharra and $900 goes to you, deducted automatically at Stripe settlement. If the invoice is never paid, Syntharra earns nothing. There is no monthly retainer, no setup fee, and no per-call charge.
When does money actually hit my account?
Typically 2 to 5 business days after card authorisation via Stripe Connect. The timeline depends on your Stripe account’s standard payout schedule. The 10% Syntharra fee is taken at the point of settlement, so the net amount lands in your bank without any further deductions.
What if a customer’s card declines?
The agent asks whether the customer has a different card they’d like to try, or offers to schedule a callback at a time that works better. It does not give up on the first decline. If a second card is also declined or the customer has no alternative, the call outcome is logged as unresolved and the invoice remains in the queue for the next attempt.
Do you work with QuickBooks Online?
Yes. Connect QuickBooks Online in under 2 minutes from your Syntharra dashboard. The connection is read-only — Syntharra reads invoice data and customer contact details but does not write anything back to QuickBooks without your confirmation. We also connect to Xero, FreshBooks, and Sage.
What’s the oldest invoice you can work on?
Invoices up to 12 months past due recover well. Between 12 and 24 months the recovery rate drops but is still worth attempting on higher-value invoices. Beyond 24 months, a human review is recommended before automated calls start — the Syntharra team can advise on whether the invoice is worth the attempt.
What happens if I want to cancel?
There is no contract. Cancel any time from your dashboard settings and no further invoices will be called. Fees already earned on recovered invoices are not clawed back. Any invoices mid-queue when you cancel simply stop — they are not deleted from your accounting system and no further calls are placed.
