What is AR automation?
Accounts receivable automation
AR automation uses software to handle routine accounts receivable tasks — invoice delivery, payment reminders, follow-up calls, and payment posting — without manual intervention for each invoice.
AR automation covers a wide spectrum. On the simple end: scheduling email reminders when an invoice goes past due. On the complex end: AI voice agents that call customers inside a compliance-safe window, record promise-to-pay data, and trigger escalation rules based on the conversation. The common thread is that a person is not making individual decisions for each invoice — rules and software handle the routine cases, and humans handle exceptions.
For small businesses, the case is simple: consistency. Human follow-up is irregular — an owner chasing past-dues is also quoting jobs, handling service calls, and managing staff. Software does not have competing priorities. Every invoice that hits a trigger condition gets a timely follow-up, regardless of how busy the week is. The reduction in write-offs from that consistency typically covers the cost of the tool.
