Alternative to QuickBooks Online payment reminders — Syntharra

QuickBooks Online's built-in reminders are free and catch the easy half of late invoices. If you have been running them for a few months and recovery has plateaued, what is missing is escalation beyond email. Most owners do not actually want to replace QBO reminders — they want a layer that handles the second half.

Why people search for an alternative

  • Reminders top out at three emails per invoice, and they only work on customers who still open the emails. Chronic late payers stop opening at some point.
  • All-or-nothing toggle — there is no per-customer or per-invoice control. You either remind everyone or no one.
  • No phone-call escalation. The customer who ignores three emails just keeps ignoring them; QBO has no next layer.
  • Late fees are not automatically applied. You can put fees on the invoice template, but enforcement is manual.
  • Reminders only apply to invoices created after you turn the feature on. Existing past-due invoices are not retroactively included.

What Syntharra replaces — and what it does not

You should not replace QBO reminders — keep them on. Add a voice-call layer for the second half. Syntharra connects to the same QuickBooks instance via OAuth, makes the call on day 3 past due (after QBO's first email reminder has gone out), and routes payment confirmations and disputes back to you. Pricing is success-fee only (10 percent of recovered amount), so there is no monthly cost stacking on top of your QuickBooks bill. The two layers run in parallel without overlap.

Migration checkpoints

  1. Keep QBO reminders enabled — they handle the simple cases efficiently.
  2. Verify Syntharra's day-3 call window does not collide with your reminder schedule (typically it does not, because reminders go on day 1-2 and the call goes on day 3).
  3. Configure Stripe Connect for SMS payment-link redelivery — about 5 minutes.
  4. Confirm your business hours so call-window logic respects the customer's local timezone, not yours.

What you keep

QBO reminders, the QuickBooks-generated payment links, the QBO data of record. Syntharra never modifies QuickBooks data — it reads invoices, calls customers, and writes call outcomes back to a separate dashboard. Your books stay exactly as clean as they were before.
