1. What we collect
- Account data — company name, email, phone, IP address at signup.
- Accounting data — via OAuth from QuickBooks, Xero, FreshBooks, Square, Zoho Books, or Jobber: customer names, phone numbers, invoice numbers, amounts, due dates, payment status.
- Call data — recordings and transcripts of calls we place, retained for quality, compliance, and dispute resolution.
- Payment data — processed by Stripe. We do not store card numbers on our servers.
2. How we use it
We use the data solely to deliver the service: identify overdue invoices, place compliant AI calls to your debtors, collect payments, bill you, and improve our call scripts through anonymised learning runs.
3. Who we share it with
We share the minimum data necessary with the following service providers:
- Stripe — payment processing and connected account management.
- Retell AI — AI voice agent platform.
- Telnyx — telephony carrier for outbound calls and SMS.
- Supabase — managed Postgres database.
- Anthropic — LLM API for call synthesis and learning.
We never sell your data, and we never use it for advertising.
4. Call recording disclosure
Every outbound call starts with an audible “This call may be recorded” disclosure and an AI identification statement, in line with TCPA and state-level consent laws.
5. Retention and deletion
Call recordings and transcripts are retained for 2 years for compliance and dispute resolution. On account cancellation, we delete client and invoice data within 30 days, retaining only billing records required by law (typically 7 years for US tax).
6. Your rights
You can export, correct, or delete your data at any time by emailing privacy@syntharra.com. Debtors named in your invoices can also request removal from our DNC list through any call or by contacting privacy@syntharra.com — DNC requests are honoured instantly and globally.
7. Security
Data is encrypted in transit (TLS) and at rest. OAuth tokens are stored encrypted. Database access is restricted by Row Level Security (RLS) policies in Supabase. Only authorised staff with a business need may access production data.
